How to Compare Property Management Software Costs in 2026

The headline subscription is never the whole bill. A framework for comparing PM software costs — pricing models, hidden line items, renewal terms, and the questions to put to every vendor in writing.

Marketing pages quote the base subscription. Your actual bill includes payment processing, screening, eSignature credits, 1099 e-filing, and renewal escalation. Below: how the pricing models in this category work, the hidden line items to hunt for, and a repeatable way to compare total cost at your own door count. Treat any verbal discount as not-real until it's in writing.

This isn't a "transparent pricing" puff piece, and it doesn't quote other vendors' rates: vendors change their pricing pages often, and any number we printed would be stale within a quarter. Instead, this is the method. Each vendor's own pricing page, or a written quote, is the only source worth trusting for their numbers.

TL;DR — what matters when comparing PM software costs

  • The pricing model matters more than the sticker. Flat subscription, per-unit, tiered base plus per-unit, and quote-based models all behave differently as you add doors.
  • Small portfolios can often start on a free tier or a flat low-cost plan. Check which features, such as trust accounting and reporting depth, you'd outgrow first.
  • Mid-size portfolios are where per-unit fees stack up. Model your bill at today's door count and at the count you expect in two years.
  • Larger portfolios should price the whole stack, not the subscription: processing, add-ons, support tiers, and the renewal.
  • Most opaque: vendors that quote per customer. Ask for the quote in writing, with renewal terms.

The pricing models you'll meet

Flat subscription

One monthly fee that doesn't change as you add doors. Predictable and easy to budget. Check which features sit inside the flat fee and which are add-ons.

Per-unit pricing

The bill scales with your door count. Often paired with a minimum monthly charge or a minimum number of units. It is simple to understand but compounds with every acquisition. Ask whether removed units credit back, and when.

Tiered base plus per-unit above a cap

A base fee covers an entry cap, with a per-unit charge above it, and higher tiers unlock features such as an owner portal, deeper accounting, and custom reports. The tier you need is often not the tier on the headline.

Free tier with paid upgrades

Some tools are free for the landlord and monetize through tenant-paid fees or paid upgrades. That can be a good fit for a handful of doors, but the cost shifts to your tenants, so factor in how they'll feel about it.

Quote-based

No published price; you talk to sales. The number depends on your portfolio and your negotiating position, and year-two escalation is common. Get the renewal cap in writing before you sign.

Hidden line items to price out

Whatever the model, ask each vendor about the same list. A vendor that can't answer clearly is telling you something.

Line itemWhat to ask
ACH transaction feePer transaction? Who pays, landlord or tenant? Does it change at volume?
Card processingWhat percentage? Can you pass it to the tenant where state law allows?
Application screeningPer applicant? Is it re-billed to the applicant?
1099 e-filingIncluded, add-on, or manual?
eSignature creditsBundled envelopes per tier? What happens above the threshold?
Concierge migrationIncluded, or a separate project fee? What exactly is in scope?
Premium featuresWhich reports, portals, AI features and support tiers cost extra?
Year-2 renewal escalationIs the rate locked for the term? What is the cap at renewal?

How to compare total cost at your door count

  1. Pick three door counts: today, twelve months from now, and where you expect to be in three years.
  2. Ask each vendor for a written quote at each of those counts, with the features you actually use, and have them state what is and isn't included.
  3. Add the line items above from your own volumes: how many rent payments go by ACH versus card, how many applications you process, how many leases you sign each year.
  4. Add the renewal. Ask what year two and year three look like, and whether the rate is locked.
  5. Compare over 36 months, not the first invoice. A cheap year one with an aggressive renewal can cost more than a steadier plan.
  6. Price the switch itself. Migration effort, retraining, and the auto-pay enrollments you'll have to win back are real costs on both sides of the comparison.

FAQ

Why do per-door fees exist? Per-door pricing aligns vendor revenue with operator growth. It's a margin model, not a value model. For operators, it means the bill grows with every acquisition. Flat-priced tools collapse that risk.

How much does PM software pricing change year-over-year? It varies by vendor, and legacy per-door tools commonly escalate at renewal. Ask for the cap in writing. Flat-priced tools tend to hold prices for longer cycles, though all vendors reserve the right to raise prices on notice.

Are payment processing fees negotiable? Sometimes, at scale. With high transaction volume, larger PM platforms may negotiate ACH and card rates, since they earn margin on the spread. Ask, and get any change in writing.

Where do I find a vendor's actual pricing? On the vendor's own pricing page, or in a written quote. Prices and tier boundaries change, so confirm before you sign.
